Refund & Cancellation Policy
1. Introduction
Thank you for choosing BYTEBABA LLP. We are committed to ensuring customer satisfaction through our high-quality IT services. This policy outlines our procedures for refunds and cancellations to ensure clarity and fairness for both our clients and our company.
2. Definitions
- Client: The individual or entity purchasing services from BYTEBABA LLP.
- Services: All offerings from BYTEBABA LLP, including but not limited to software development, IT consulting, managed services, digital marketing, and web development.
- Project: A specific scope of work defined in a proposal or Statement of Work (SOW) and agreed upon by the Client.
- Cancellation: The act of terminating a service or project.
- Refund: The reimbursement of funds to the Client.
3. General Policy
Due to the digital and service-based nature of our work, significant resources are allocated to a project immediately upon commencement. Therefore, we generally do not offer refunds once a payment has been made and work has begun. Payments for services are considered final.
All fees are non-refundable unless expressly stated otherwise in a written agreement signed by an authorized representative of BYTEBABA LLP.
4. Eligibility for a Refund
A refund may be considered under the following very specific and limited circumstances:
- Project Non-Commencement: If a project is cancelled by the Client within 24 hours of making the initial payment AND before any project-related work (including planning, resource allocation, and initial setup) has commenced, a partial refund may be issued. This will be subject to a deduction for payment processing fees and a standard administrative fee of 15% of the total project cost.
- Major Service Failure: In the unlikely event that BYTEBABA LLP fails to deliver the services as outlined in the project's Statement of Work (SOW) and is unable to rectify the failure within a reasonable timeframe (not less than 30 days), the Client may be eligible for a partial refund corresponding to the undelivered portion of the service.
5. Non-Refundable Scenarios
Refunds will NOT be issued under any of the following circumstances:
- Client dissatisfaction with a service that has been delivered as per the agreed SOW.
- The Client changes their mind about the project or service after work has begun.
- Delays in project completion caused by the Client's failure to provide necessary information, content, or feedback in a timely manner.
- Services already rendered, hours already worked, or milestones already completed.
- Third-party costs that have been incurred by BYTEBABA LLP on behalf of the Client (e.g., domain registration, software licenses, hosting fees).
- The Client opting to use a third-party service provider or in-house resources to complete the project.
- Cancellation requests made after the initial 24-hour window.
6. Cancellation Process
To request a cancellation, the Client must submit a formal written request to [email protected] from the email address registered with us. The request must include the project name, payment date, and a clear reason for cancellation.
BYTEBABA LLP will acknowledge the cancellation request within two (2) business days. Please note that acknowledging the request does not imply approval of a refund.
7. Processing of Approved Refunds
If a refund is approved by BYTEBABA LLP management, it will be processed through the original method of payment (e.g., Razorpay) within 7-10 business days. For international transactions, the time taken for the funds to reflect in the Client's account may vary depending on the financial institutions involved.
BYTEBABA LLP is not responsible for any fluctuations in currency exchange rates between the time of payment and the time of refund.
